Resident Files Overview gets a facelift!

We made some awesome changes to the Resident Files Overview found in the right-hand side of Resident Files which we hope will make them more useful and efficient. We’re always striving to make your jobs easier and we hope we’ve hit the mark with this one!

Changes made to all sub-reports:

Added sortable column headers (click the top of a column to sort (0-9/A-Z) and click it again to sort opposite (9-0/Z-A)
Made titles and criteria sections consistent
Added a “# Residents (Unduplicated)” and “# Items (Duplicated)” count
Improved layout including padding/spacing, color usage, etc.

Outstanding Follow Up Tasks

Added a new column for “Due.” A calendar will appear here for any task that is within its reminder period. You can sort by this column to quickly see all items that are currently due.

Financial Tracking Upgrades!

We are excited to announce two exciting updates to FamilyMetrics to help in tracking financial services: new positive cash assets categories and a new Financial Outcomes report!

First, we made modifications to the Financial Status form so that you can now track two additional accounts: Pre-Paid Debit Card and Secured Credit Card. The Secured Credit Card account allows you to additionally track the outcome of the credit card (whether it was a successful or unsuccessful conversion to an unsecured card and regular savings account).

Second, we have added a new, long-awaited report: the Financial Outcomes Report! This report covers outcomes-related data in the Financial Status form including: FICO credit scores, EITC, Positive Cash Assets, Financial Goals, and Financial Understanding.

Thank you to Citibank without whose generous support this functionality could not have been added and made available to all!

Latest addition: Progress Note Summary!

Ever wanted to view the notes for all the residents at your property at once? It used to be kind of a pain… going to a resident’s profile… running her Progress Note report…going to the next resident… running his report… over and over until you think you just can’t take it anymore! Well, have we got a new report for you! Introducing the Progress Note Summary! Easily see all progress notes for all of your property(s) in one place with just a few simple clicks. The report is located in the Reports and Ad Hoc Reports sections of the system (towards the top of the report list).

Login got a facelift!

Two new features have been added to the login screen!

You can now have your password emailed to you in the event you’ve forgotten it without having to call into our office and explain yourself to the lovely Pangean on the other end… AND from the login screen you can now reset your password! We even included a nifty button that will generate a random, super-secure password for you if you’re not feeling especially creative.

New Sub Categories Added!

Several new sub-categories have been added to FamilyMetrics to help you all provide a more complete picture of the services you provided your residents. The new sub-categories will appear in all service-related forms including Resident Service Logs, Group Add Service Logs, Program Attendances, and attached activity portions of the Program Attendances. They are also available for designating as a Program’s “type” when creating a Program in the Program Portal.

The new selections include:

· BENEFITS/ENTITLEMENTS > Women, Infants, and Children (WIC)

· COMMUNITY/CIVIC > Cultural Events

· COMMUNITY/CIVIC > Gang Prevention/Intervention

· HEALTH > Prenatal Care

· HEALTH > Women’s Health

· HEALTH > Teen Pregnancy Prevention has been updated to be Teen Pregnancy Prevention/Resources

· OTHER > Conflict/Anger Management/Prevention

· TRANSPORTATION > Repair Assistance

· YOUTH EDUCATION > Developmental Disability Services

· YOUTH EDUCATION > IEP School Collaboration/Services

Program Portal Pre-Spring Cleaning!

We decided to do some pre-Spring Cleaning – Program Portal style. Just thought the look and feel could use a little freshening up and we hope you agree! Besides better colors and more uniform spacing for easier readability, we added a much enhanced pagination control. You can now choose to show 10, 20, 50 or All records at once. In addition, it displays how many records match the filter criteria. You may even notice a slight speed increase.

In addition, we decided to move some fields on the Program Attendance around. Many of you have told us you’d like to be able to denote the Service Coordinator, Location, and/or Referral Agency on a Program Attendance without having to attach an activity log at the bottom. Well, we listened. These fields are now located at the top of the form, just below Date, Time, and Duration, just how you’re used to on regular Service Logs.

Help! How do I track my volunteers??

Has keeping track of your volunteers caused them to seem like more of a burden than a help? Well, with generous contributions from Affordable Housing Corporation and Citibank, a brand new feature has been added to FamilyMetrics to help you out! We are proud to announce the addition of the Volunteer Tracking module!

The Volunteer Tracking module can be used to manage volunteers and track the activities with which they assist. You can manage information about your volunteers including: name, start and end date, contact information, as well as background check and fee status. The Volunteer Activity Logs allow you to indicate which volunteers took part in activity, how long they spent assisting the residents and what kinds of services were provided or programs with which they worked.

And it gets even better… there are already multiple reports available in the Volunteer Service section of the Reporting areas. You can easily get out all of the information you put in with helpful statistics and links to detailed drilldowns so you can dive into that data! Easily show the impact that Volunteers are having at your site. Provide that recognition you know they deserve using the “Length of Service” report. With the new Volunteer Tracking module, it’s easy and pain-free!

Even more new features!

Seattle Housing once again provided generous support allowing for additional features to be available to all users of FamilyMetrics. The updates include:

Household Makeup form – brand new form! This form is found in each resident’s profile, just below the Resident Intake form. It allows you to note the names and relationships of household members for each resident. Please note that this form is purely a notation tool and is not linked to or reported anywhere else.
Barriers to Employment – found on the Employment Status form. You can now indicate whether one of the pre-defined barriers “applies” or was “overcome” by a resident at your property. Once the information has been documented, you can find a list of all residents with current barriers to employment on the Employment > Statistics Overview Report as well as all residents who overcame a barrier to employment on the Employment > Outcomes Report.

Features, features!

New features, new features! With the generous support of Seattle Housing, some exciting new features have been added to the system including:

The ability to mark financial goals (including amount!) that a resident sets instead of only those achieved (located on the Financial Status form in the “Financial Goals” section)
- Please note that no accompanying report was designed or built. If this is something your organization is interested in funding, please contact us!
New field for “Number of Months Employed” auto-calculates based on the resident’s Start Date for that job (located on the Employment Status form in the “Employment Details” section)
Referral Sources have been enhanced on the Intake form:
- “Self” changed to “Self/Walk-In”
- “Incoming Call” was added
- “Outgoing Call” was added
- “Community Agency” now allows for the ability to select an Agency from the Resource Directory
The Ethnicity for “African American” is now “African or African American” on the Intake form
Housing Status options have been enhanced on the Housing Status form:
- “Hope IV / Relocated” was added
- “Living with a [Organization Name] Resident” was added (where your Organization’s name is auto-filled)
- “Scattered Site” was added (including a text box to denote the name or further information)
- “Other” now has a text box for denoting further information

Running Program Reports just got easier!

The Ad-Hoc Report section has a brand new filter - Program Enrollment. This filter allows you to choose residents to run reports on based on which Programs they're enrolled in. What does this mean? You know all the kids who are in your “Tutoring Club” program? Well, now you can run any of the available reports (services, outcomes, incidents, etc.) on just these residents… easily. No more checking their names individually.

Want to know how? It’s super simple. First, go to Ad Hoc Reports found on Personal Space. Second, select a property (or more than one if your heart so desires). Next, click on the tab for “Program Enrollment.” You will see all of the Programs that exist on the property(s) selected. You can check whichever ones you want. You can even choose to run reports on residents who are in any Program (without specifying the name of a Program) or who aren’t in a Program at all. You can, of course, add any other criteria available in the filter as well, such as Gender, Age, Language info, etc. Your last step would be to choose the report date and you’re good to go!

We really think this will help SCs easily show the differences their programs are making at their properties. As always, please let us know if you have any questions!

New Resident Volunteering Report!

A new report has been added to FamilyMetrics - Mid Peninsula Housing Resident Volunteering Report!

This report was made possible with funding from Mid-Peninsula Housing. It gives a summary of residents who have volunteered during the reporting date range as well as how much time they volunteered each time. The report can be found under the Foundation Reports section of the reports list.

What’s that link for “Ad-Hoc Reports” all about?

You asked and we listened. You now have the option to create a report of residents based on any of the demographic information available in FamilyMetrics! You want a list of all of your females? Bam! A list of residents aged 2-15? Done! Only females aged 2-15 who speak Belorussian, moved in during 2008, were referred by Management and qualify for Free and Reduced Lunch? Shizam! The possibilities seem endless…

You know what’s even better? Besides being able to just get a list of these residents, you can also run them through all of the other reports in the system. You know that eclectic group mentioned above? You can run a Property Service Log report on just those residents… or find out if they had Incidents/Violations… or check out their Education Outcomes…

And guess what else? Drum roll… all the reports now have drilldowns! No more guessing which 5 residents had that service…

We hope you all really enjoy this new functionality. We worked hard on it and are excited for everyone to take a look. To get to these reports, click on the “Ad Hoc Reports” link in Personal Space. You’ll want to select the correct property(s) and make sure to choose a default date. Other than that, the choice is up to you – play around, check out the options available. Once you get the ad-hoc group you’re looking for, try viewing a list of the residents or running them through a report. As always, if you have any questions or concerns, call or email tech support and we'll happily answer them!

Oh yeah… one more item we fit in… we added the ability to delete a Program Attendance. Have any lying around you never meant to enter? Well now you can get rid of them! Just click “Edit” next to Program Attendance, select the appropriate record and at the bottom you’ll see the save option for “Delete and Close.” It’s that easy!

Blog syndication: How cool is RSS!!!

RSS is the coolest technology many people haven’t heard of… and don’t feel ashamed if that includes you. I just learned that fewer than 30 percent of Internet users actually use RSS. But RSS is increasingly central to the blogging movement.

If you want to learn more about RSS you can do so here and here. For now, let me just say this: RSS is essentially a news wire service. It’s a delivery system that can be used by anyone interested in reading the FamilyMetrics Blog.

Pangea Foundation uses RSS to automatically notify you when we’ve added information to the FamilyMetrics Blog. RSS basically goes out and tells you, “Hey, there’s something new here. Check it out!”

You can subscribe to the FamilyMetrics Blog RSS feed by plugging this feed URL into a specialized Web service or software program. If you’re a subscriber to the feed and the FamilyMetrics Blog has been recently updated—say with information about a new feature—the RSS reader grabs the latest content, and voila! It’s delivered right where you want it. The information can be displayed in an email message, a Web page, a specialized reader, or any one of a number of other formats.

Here’s another cool thing about RSS: You choose to subscribe to an RSS feed, which means you can also choose to unsubscribe—whenever you want. As a result, RSS feeds cut through the piles of spam and junk mail that can clutter your inbox.

But that’s not all RSS delivers. By subscribing to the FamilyMetrics Blog RSS feed, you don’t have to take the extra step of dropping by the FamilyMetrics Blog every day. That’s because the full text of each of our blog posts is included in our feeds.

We launched a cool new Website, completed your software makeover, and introduced what we think is the first blog dedicated to family resident services. The FamilyMetrics Blog is the foundation of what will become the first professional online community and social networking platform of its kind for family resident services.

This entire process has been a whole lot of fun, and yes… a lot of hard work, making it incredibly worthwhile!

Next week should be pretty fun, too! But before we can even begin to think about next week, we’re planning to celebrate a little this weekend!

We’ll use the blog to talk about the advancement of FamilyMetrics and family resident services from every angle. Not just the Software-as-a-Service (SaaS) platform we’ve built here at Pangea Foundation, and how we’re continuing to build it, but also what we’re seeing out in the world: solutions that impress us, trends that inspire us, events that interest us, and whatever else catches our eye.

We plan to write about things we’ve read, people that move us, plans we’ve hatched; even code we’ve… uhh, coded—all of that. Because we believe that it’s at the intersection of all these things that a meaningful difference can be made.

Yep… it’s the day we’ve all been waiting for…

A long time.

After tireless hours of compiling feedback and feature requests, after sleepless nights of design and development, and after loading the wheel with as many hamsters as we could possibly find, we would like to introduce you to…

Your new home.

We are so stoked about this. And we hope you are too.

Today, we’d also like to invite you to “attend” the glitzy Pangea Foundation premiere of the “movie” that is destined to change the world. (Okay… maybe it won’t entirely change the world, but we hope you’ll at least get a good laugh or two out of it and then forward it to all your friends and colleagues.) The movie is called FamilyMetrics Made Simple. You’ll be able to view the (short) movie by clicking the image that appears on the home page of the FamilyMetrics Website (lower left).

As we’ve said before, the Personal Space will continue on as an important feature in FamilyMetrics, but we’ll be blogging away about “all things FamilyMetrics” in the new FamilyMetrics Blog, too.

Oh… almost forgot.

Because we want an official record of all the madcap excitement that took place around here in recent weeks (you know… for posterity and stuff!), we’ll also be inserting the most recent Personal Space posts into the FamilyMetrics Blog. That way, you can come back some day and re-live “the days back when”.

What do you need to do? Really… nothing!

Starting on Monday, February 23^rd, you will automatically be redirected from AASC Families to the new FamilyMetrics Website at www.familymetrics.org.

Once you’re at the FamilyMetrics Website, click the “My Account” link located on the top right, beneath the “Search” box, as shown below. You’ll be taken directly to the new login page.

We recommend that you bookmark the login page so you can quickly access it in the future.

And don’t worry…

Your login information is the same, and your residents’ data will be there waiting for you.

Okay… so what we’re going to talk about today might not be quite as “off the hook” as this.

But still, we think the new Resident Services Dashboard will be worth whooping over.

If you don’t have a lot of time today and want to skip ahead to the pullquote, here it is:

“The high level Resident Services Dashboard will put resident services professionals and their advocates in charge of the aggregate information that matters most. Our goal is to give you a fast and easy way to see the overall impact being made by family resident service coordinators.”

If you’re the kind of person who likes bullet points, the Resident Services Dashboard will:

Convey meaning quickly and succinctly. People don’t want a long, drawn-out explanation. They want to see results. So they can quickly see what’s working—and what isn’t.

We’ve put more hamsters on the wheel, and we’re working like crazy to get the new FamilyMetrics Website ready for you guys.

We’ve created a new design and color scheme—one we’re really liking.

To be consistent with how easy FamilyMetrics is to use, we wanted the new FamilyMetrics Website to have a clean look and feel too.

We played around with the color wheel quite a bit. And, after working our way through a 64 carton box of Crayola Crayons, we’ve decided to make the background color of the new FamilyMetrics Website…

[Insert drum roll]

Gray.

Yep… gray gives us a lot of flexibility for the site content itself, and we will be applying a common look and feel to the FamilyMetrics software application, too.

As for the FamilyMetrics logo, we’ve decided on a combination of light green and gray. Lots of options, but we’re really digging the simple, clean approach.

Here’s a screenshot to give you a sneak preview of the brand new design and home page, in preparation for the upcoming launch of the new Website.

Update on the FamilyMetrics makeover

So much to share. As you may have noticed, the new design of the FamilyMetrics site hasn’t been completed… yet.

That’s intentional. The makeover is still in progress.

As we mentioned before, the Personal Space is serving as a temporary blog to keep you updated on the progress we’re making. When the new FamilyMetrics Website launches you’ll be able to stay connected to all the latest news about FamilyMetrics, including updates, announcements, and helpful hints through the official FamilyMetrics Blog.

We’ve given ourselves a launch deadline.

And the clock is ticking. Fast.

Until the new site launches, we’ll continue to tell you about some of the cool stuff taking place behind the scenes. Within the next day or two, we’ll let you see a screenshot of the new FamilyMetrics Website to give you a partial glimpse of what you can expect.

We’re planning a gradual roll out of the new Website; with a targeted first launch date in a couple of weeks. We invite your input, and are more excited than ever with where this is going.

Just what the heck is a blog anyway?

In my last post, we discussed how these updates will soon become part of the official FamilyMetrics Blog.

Then, I got to thinking: There’s got to be someone out there wondering… what the heck is a blog?

Good question.

The elements that define blogs are:

Reverse chronology (just like the Personal Space post)
Links to other resources
An informal, conversational tone… to keep it real.
Your comments

Now, some of you may have a follow up question like: “So, uhh, what is a blog again?” And, that’s another good question. (Just click here and you’ll find some good answers.) If that’s you… don’t worry. Many of our closest family members don’t understand what a blog is either. As a matter of fact, some of them are convinced people “send” blogs to each other… through the mail.

Perhaps the best thing we can do is simply explain the purpose of the FamilyMetrics Blog.

The FamilyMetrics Blog will be geared toward anyone interested in how FamilyMetrics can be used to help family resident services professionals improve service delivery, make better decisions, measure and report performance, increase funder confidence, and deepen community impact.

Read the FamilyMetrics Blog to stay connected, stay informed, and stay inspired. Get a fresh dose of fun information that includes trends, news, creative inspiration, and the latest gossip here at Pangea Foundation.

Time to spill (some of) the beans

Okay… so we’re ready to start spilling the beans. It’s time to tell you about some of the great stuff happening with the family resident services software you've come to rely on each day.

As we mentioned in the last update, it’s been two years since the “pilot phase” of AASC Families began. And we’ve got some cool new things planned for your software, starting with a new look.

Yep… it’s about time.

To help us celebrate the official conclusion of the “pilot phase”, we’ll be renaming the software to better reflect the nature of how family resident service coordinators are capturing the key success metrics related to family resident services.

Ready for the new name? Here goes: FamilyMetrics.

Thirteen years ago, Pangea Foundation was born. 1996 was a fun time. Yeah right… remember dial-up?

So much has changed since then, and we have too.

Today we’re in a position to offer family resident service coordinators many new and exciting software features—stuff that didn’t even exist back in ‘96.

Which leads me to my point: AASC Families. It’s the software that family resident service coordinators have come to know and love.

Nearly two years ago, we launched AASC Families as a pilot software project. And thanks to your helpful feedback (and your patience!) the software has come a long way since then. Even better, we’ve got some cool new things planned for the future—things we think you’re going to love.

Starting with a fresh new look.

And in the spirit of change, we plan on sharing the entire process of with you. There’s so much to tell you, and we’re more stoked than ever about where things are going.

But we’re not ready to spill the beans just yet.
